When Should a Spreadsheet Become an Application?

A spreadsheet should become an application when the business depends on it as a shared process, but the file can no longer enforce who does what, which information is valid, or what happens next.

Strong warning signs

• several copies circulate by email;
• formulas break when rows are inserted;
• one person understands the color codes;
• staff retype the same information into other systems;
• permissions are all-or-nothing;
• there is no reliable history of changes;
• reporting requires hours of cleanup;
• the file freezes or becomes too large to use comfortably.

Do not automate confusion

First map the inputs, decisions, exceptions, output, owners, and retention needs. Sometimes the right answer is a cleaner spreadsheet with protected fields and written instructions. Sometimes it is a small tracker, intake tool, database, or dashboard.
